PRIVACY POLICY

Introduction

HOTEL COLLECTIVE (hereinafter referred to as the “Hotel”) collects the personal information of its guests to provide services. The Hotel thoroughly understands its heavy responsibility for the management of said information, and shall not only comply with the regulations of the Act on the Protection of Personal Information, but it shall also ensure that all the staff have thorough knowledge thereof by establishing the basic policy on the protection of personal information. Furthermore, the Hotel shall handle such personal information securely, and offer ceaseless ease of mind to the providers of such personal information including their guests (hereinafter referred to as the “Information Provider”).

Our Stance on the Protection of Personal Information

The Hotel shall establish management systems to protect personal information including those of its guests and HR, which are needed for the operations of the Hotel. It shall carefully and appropriately handle personal information in accordance with the policy and internal guidelines regarding the following items.

  1. Acquisition of Personal Information
    The Hotel acquires personal information using only appropriate means, without the use of falsehood or other dishonest methods. To the information provider, the Hotel shall clarify the purposes of the acquisition of their personal information, and shall do so with lawful and fair means within the limit necessary to accomplish their purposes.

  2. Use of Personal Information
    The Hotel uses personal information within the range of the purposes of the collection of the information, to which the Information Provider has agreed.

  3. Safety Management
    The Hotel shall take appropriate and necessary measures to protect personal information from leakage, loss and/or damage, as well as to ensure the safe management for the personal information.

  4. Consignment of Personal Information
    The Hotel shall provide / consign personal information to a third party only within the range of the purposes, to which the Information Provider has agreed. If such provision / consignment have already been scheduled, a consent may be obtained from the Information Provider prior.

  5. Provision of Personal Information to a Third Party
    The Hotel may not provide personal information to a third party without consent from the Information Provider, unless it is required to do so by the Act on the Protection of Personal Information or other relevant laws.

  6. Safety Measures
    The Hotel shall unfailingly prevent unauthorized access to, or the loss, destruction, falsification, leakage, etc. of personal information by clarifying rules regarding the handling of personal information, disseminated them among its employees, and taking the necessary security precautions. Also, it shall make necessary adjustments immediately in case where it is necessary due to the results of internal audits, examples of security accidents, or suggestions / directions from the Information Provider. 

  7. Disclosing and Editing of Personal Information
    The Hotel shall disclose personal information to an Information Provider who has requested access to their own information. The Hotel does not fulfill such a request without the confirmation of the identities of the individual concerned. The Hotel shall take expedient actions after examinations upon requests to correct, add, or delete the contents of the personal information, from the individuals concerned.   8. Organizational Measures
    The Hotel appoints a Personal Information Manager in order to be conduct an adequate management to personal information, and to make improvements continuously.

  9. Policy Amendment
    This policy is subject to amendment. Such amendment shall become effective when it is published on the Hotel’s website, unless otherwise specified.

  10. Legal Compliance
    The Hotel shall comply with all the laws, official notices, and other regulations regarding the protection of personal information, and shall strive to make continuous improvements in order to conduct an adequate management to personal information.
